GULFCOAST RUNNERS
Meeting Minutes 8-18-04
Those attending: LeRoy Huenefeld (LH), George Dondanville (GD), Mary Tydings (MT), John Zack (JZ),
Tim Lyster (TL), Becky Michaels (BM) and Craig Harrington (CH).
Apologies/Missing in action: Loretta Huenefeld, Ed Species, Ron Bailey, Andy Robinson, Jennifer Auray,
Ron Avola and Anke Stimpson.
The meeting opened at 1830 with barely a quorum present.
Ongoing Programs:
Upcoming Races: GD reported the following:
- John Clay on 09/04/2004. International College will be doing most of the organization and some help will be required at registration, results and on the course.
- Naples On the Run 20 kay on 09/19/2004. Anyone able to help please contact GD.
- Naples Daily News Half-Marathon:
- GD has sent letters out sponsorship and some replies have been received. He is working on the title
sponsor and hopes to get some new recruits, viz Allen Systems. There is a hope and a chance that more sponsorship monies than last year may be raised.
- The race will be put on Active.com. Copies of the entry form should be available at the 20 kay.
- GD is to “lean on” the folks who were in charge of specific areas in 2003. He is optimistic that those folk will step up and do another fine job. Help is always required so please recruit volunteers.
- Perry Silverman is talking to First Watch re the Pasta Party. We may be able to have the dinner there. If the First Watch is not available then another venue will be identified and secured. (Perhaps the info on another venue is superfluous.)

- Deadline for the newsletter is 09/01/2004. Please get all articles to Jennifer by then.

- Potluck at Rosemarie and Perry Silverman’s on 10/27/2004 from 1800.
Web Site:
- Pleasing response was noted from the listing of the races on Active.com. The practice will continue. The new logo is on line and a new club member was recruited via Active. Brilliant!
- A forum will be available on the website soon. Terry Stickel is working on it. I was perplexed at this stage of proceedings as I thought that a form was being posted on the website so may not be reporting this part of the meeting accurately. I was wondering why we would put a form on the website. I think the main purpose of the forum was to enable people to list running times and dates and for others to join them if there was an interest. It will enable out of towners to join locals on runs. Please correct me if I am off track here and I will issue a disclaimer for these minutes and get the correct version to you.
Old Business
New Business
- Hurricane Charley: It was suggested by LR that we make a donation to Peace River Track Club as a gesture of goodwill and support after the hurricane. JZ knows some runners form the club and will chat to them about the idea and to determine what the donation should be used for.
- The Board:
- Andy Robinson has resigned from the board. He wants to remain involved in the club. He would like to continue with the mentoring but would like help in the task. Hopefully he will front up to drive the water-truck at the half.
- Jennifer Auray cannot perform the secretarial functions to the high standards that she is satisfied with due to work commitments. Any volunteers for the position? I hope so for you guys sake otherwise you will be receiving minutes of a similar vein until some-one volunteers, is coerced or takes over from me.
- A replacement is needed for Andy. Think about it, identify a prospect, talk to them about it and f interest is shown bring their name to the next meeting so we as a board can vet that person.
Outstanding Projects
- Advertising: There is a need to ensure that those who advertise in the newsletter pay their way. JZ offered to work on the advertising related to the newsletter. The objective will be to increase revenue by getting new advertisers and by tracking current advertiser’s payment terms. GD to liaise with JZ and get a plan operating.
- Grand Prix Series: Lisa Le Blanc-Hutchings has been overseeing the Grand Prix series. The task has become a bit of a monster and Lisa is struggling. A major area of difficulty is matching the results lists from the races to the club member’s list. Suggestions of eligibility for the series were discussed with nothing really being resolved.
- The discussion then moved onto the club obtaining a database management system that may make the membership function easier to manage and to aid in the series. CH suggested that Access could be an answer. It was decided to contact RRCA (LH?) as this may be a problem that other clubs have had and have been able to solve.
- Next meeting to be held on 09/15/2004 at Designers’ Rug Center.
